We are looking for an experienced Office Manager to oversee all building-related activities. You will be responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well-functioning.
The ideal candidate will be well-organized and able to optimize the use of space and equipment while reducing operating costs. Leadership abilities and phenomenal efficiency can set you apart among our candidate pool.

What you will do:
You are responsible for the good management of our French office, so that it feels like home and employees are highly satisfied
Manage employees requests for all purchases (current supplies, access badge, business cards, Spendesk credit card requests for employees, etc.) via our ticketing system.
Order, track and manage supplies inventory, manage replenishment orders (supplies, food, coffee machine, etc.).
Ensure the office is tidy and all equipments are working properly
Responsible for developing and implementing office policies/tools by setting up procedures and standards to guide the operation of the office (office tour, rules of living, new more efficient suppliers), in harmony with the other international offices
Be the security referent: maintain a safe and secure working environment
Supervise daily management of vendors, manage contract and price negotiations with service providers and the building manager
Organise the space planning in the office
Office budget and expenses:
Prepare annual budget for the office - analyse variances and carry out any necessary correction
Produce office management reports
Manage office management and Spendesk invoicing - make sure Spendesk reports are approved at the end of each month
Be the first point of contact for Spendesk credit card requests from employees
Create Concur accounts
Event & travel:
Work with the Culture crew to deliver nice events to our employees - on time within budget that meet expectations
Be the back office for travel tools and the point of contact for French preferred hotel bookings

What you'll need to succeed:
5+ years’ proven track record in office management position in a fast-growing environment
Excellent project management skills
Applicable knowledge of office management systems and procedures
Hands on experience with “back-office” and accounting software is a plus
Outstanding communication and interpersonal skills
Excellent organizational & problem solving skills, multi-tasking aptitude
